PRIVACY POLICY STATEMENT

This privacy policy sets out how Bubbles Swim School uses and protects any customer information collected by us.

Bubbles Swim School is committed to ensuring that your privacy is protected. Any information collected, by which you can be identified, will only be used in accordance with this privacy statement.

Our bookings are managed by a 3rd party company, Class4Kids. Further information about their Privacy Policy in relation to your bookings can be found on their website class4kids.co.uk/privacy.

Bubbles Swim School has a Facebook page which all members are free to join. If you join, please note that Facebook have their own privacy policy and that Bubbles Swim School do not accept any responsibility or liability for these policies. Please check these policies before submitting any personal data on our Facebook page. 

At Bubbles Swim School we respect the privacy of the children attending our classes and the privacy of their parents or carers. The personal information that we collect about you and your child is used only to provide appropriate care for them, maintain our service to you, and communicate with you effectively. Our legal basis for processing the personal information relating to you and your child is so that we can fulfil our contract with you.

Any information that you provide is kept secure.

We will use the contact details you provide when booking through Class4kids to contact you via phone, text, email or through our online booking system so that we can send you information about your child, our classes and other relevant news, and so that we can communicate with you regarding payment of fees.

We will only share personal information about you or your child with another organisation if we:

have a safeguarding concern about your child

are required to by government bodies or law enforcement agencies (which may be the case if we need to inform Track and Trace during the Covid-19 pandemic)

engage a supplier to process data on our behalf (ie. Class4kids)

have obtained your prior permission

You have the right to ask to see the data that we have about yourself or your child, and to ask for any errors to be corrected. We will respond to all such requests within one month. You can also ask for the data to be deleted, but note that:

Your child will be unable to participate in our classes if we do not have sufficient information about them

even after your child has left our care, we have a statutory duty to retain some types of data for specific periods of time* so cannot delete everything immediately.

If you have a complaint about how we have kept your information secure, or how we have responded to a request to access, update or erase your data, you can refer us to the Information Commissioners Office (ICO).

By agreeing to our Terms and Conditions you are giving permission for us to contact you regarding relevant matters.

* We do need to retain certain types of data (such as records of complaints, accidents, and attendance) for set periods of time after your child ceases to attend our classes. Any other data is kept on the Class4kids booking system for 12 months after your child ceases to have an active booking.

WHAT INFO DO WE COLLECT?

When booking through our 3^rd party company, Class4kids, you will be asked to provide:

Your name and your child’s name

Your child’s date of birth

Contact information including email address

Demographic information such as postcode

Other information relevant to your child’s wellbeing such as medical information

Payment details (such as debit or credit card details) if paying for a service. Bubbles Swim School do not store our customers financial details.

WHAT DO WE USE PERSONAL INFORMATION FOR?

We require this information in order to provide you with the service you have requested from us ie. swimming lessons and to ensure that this service can be delivered in the best possible way and that lessons can be tailored to your child’s individual needs. Any contact details are used to keep you up to date with classes, term dates, costs, child’s progress. 

WHO DO WE PASS YOUR INFORMATION TO?

We will only disclose personal information to instructors who will teach your child, government bodies and law enforcement agencies, successors in title to our business and suppliers we engage to process data on our behalf. 

We will not sell, distribute of lease your personal information to third parties unless we are required to do so by law (e.g. Track and Trace).

If you believe that any of the information we are holding on you is incorrect or complete, this can be updated through your personal Class4kids account. Alternatively, please email us as soon as possible and we will ensure any records are corrected.
